Job Summary
The Medical Office Assistant provides administrative and client service to the Abbotsford Youth Health Centre (AYHC) and Foundry Abbotsford. This position focuses on greeting patients, providing reception services, clinic administration tasks, and collecting and maintaining client information.

Your Role:
Archway’s Medical Office Assistant with the Foundry Abbotsford contributes by:
- Welcoming youth and families to the Foundry Abbotsford and contributing to a positive, welcoming atmosphere in the waiting area.
- Maintaining and tidying the reception and waiting areas.
- Registering and triaging patients, including completing intake packages and mental health questionnaires, and setting up new patients with the Foundry toolbox system.
- Answering patient and client questions and calls in a timely manner and taking and distributing messages to the appropriate practitioner or to the appropriate service.
- Ensuring all patient demographics are up to date whenever they register to see a practitioner.
- Ensuring that highlighted tasks on patient charts at registration are completed.
- Ensuring patient flow during clinics.
- Notifying patients about specialist or imaging appointments and return clinic visits.
- Processing incoming and outgoing documents including scanning, uploading, sending, and assigning documents to their correct destination.
- Assisting with “Runner” duties, including pregnancy tests, urine dips when needed.
- Ensuring all specimens are labelled and that their requisitions are properly filled out.
- Maintaining, tidying and stocking exam rooms.
- Ensuring office equipment is in good working order and stocked with supplies such as paper, toner, and ink.
- Keeping an inventory of what needs to be ordered, and completing orders as needed.
- Preparing and submitting MSP billing and sessional invoices as requested.
This position is a great fit for someone who has good client service skills, is adept in working with medical office systems and knows medical office processes and procedures.

Getting an Interview–you will be considered if you have:
- A Medical Office Assistant Certificate OR an acceptable combination of education, training, and experience.
- Experience working in a clinical environment.
- Experience with preliminary lab testing completed in office.
- Experience working with youth is an asset.
The Job Requires you to have:
- Strong verbal, written, and active listening skills; able to communicate effectively and respectfully with people from a variety of backgrounds and experiences.
- Excellent organizational, prioritization, and time management skills and ability to manage competing tasks.
- Knowledge of the MSP billing process and medical office software.
- Proficient use of Electronic Medical Records (EMR).
- Strong computer competency; able to use Microsoft Office365.
- Ability to work well both independently and as part of a team.
- Familiarity with office machines including photocopiers, printers, and fax machines.
- Familiarity with IntraHealth Profile.
- Proven ability to work effectively in a high patient volume environment.
- Interest and ability to work with youth and contribute to a youth friendly environment.
- A well-developed ability to switch tasks when dealing with frequent interruptions.
- Ability to interact with people in difficult situations, and with complex, diverse needs.
- Ability to work a variable schedule that requires flexible availability including evenings.
- Ability to adapt quickly to changing conditions within the clinic.
- Ability to work within a high-level of social interaction and engagement, requiring adherence to health and safety protocols.
- A satisfactory Criminal Records Check is a condition of employment.
